Understanding Task Access and Permissions in AMS

Overview

This article explains how to view, filter, and manage tasks within the AMS platform. It is designed to help end users understand who can see and modify tasks, what filtering options are available, and how permissions work.


Viewing Existing Tasks

By default, AMS displays all tasks excluding those in draft status.

If you wish to view draft tasks, please navigate to the dedicated Draft Tasks section.


Who Can View a Task?

A user can view a task if they meet one or more of the following conditions:

  • They are the Author of the task.

  • They are a Manager of any of the following:

    • The Author’s department.

    • Departments where the task has been delegated to or from, including current and previous assignments.

  • They have been assigned the task.

  • They are a member of the Task Force (permission group).

  • They are a member of a Parent Department of the department responsible for the task.


Managers will always be able to see tasks associated with departments they oversee.


Who Can Edit a Task?

Tasks can only be edited by:

  • The Author of the task.

  • A Manager of the author’s department.

  • Members of the Task Force. (Permission Group)


Who Can Delete a Task?

Tasks can only be deleted by:

  • The Author of the task.

  • A Manager of the author’s department.

  • Members of the Task Force.
